How does the calculator handle overnight shifts?

If the out time is earlier than the in time (for example, in at 10 PM and out at 6 AM), the tool automatically adds 24 hours to the end time so the span is positive.

Do I have to enter all seven days?

No. Leave any day blank and it contributes zero hours to the weekly total. Every field on the form is optional, including the employee name and pay period - you can generate a blank template or a partial week just as easily as a full one.

What is the 'overtime threshold' field?

It is the number of weekly hours after which overtime pay applies. The default is 40 hours (US federal standard). Change it to match your employment agreement or local regulations.

Can I change the overtime rate multiplier?

Yes. The default is 1.5 (time and a half). Change it to 2.0 for double-time or any other value your agreement specifies.

How This Calculator Works

For each day enter a starting time, an ending time (each with an AM/PM selector), and an optional unpaid break in hours and/or minutes. The tool converts both times to minutes-since-midnight, subtracts start from end, and handles overnight shifts automatically: if the end time is earlier than the start (for example in at 10:00 PM, out at 6:00 AM) it adds 24 hours so the span comes out positive. It then subtracts the unpaid break and converts the result to decimal hours. Daily totals are summed into a weekly total, which is split at the overtime threshold (default 40 hours): hours up to the threshold are regular, the rest are overtime. If you enter an hourly rate, weekly pay is computed as regular hours times rate plus overtime hours times rate times the multiplier.

Converting Minutes to Decimal Hours

Payroll runs on decimal hours, not hours and minutes. To convert: divide minutes by 60. Quick references: 15 minutes = 0.25 h, 30 minutes = 0.50 h, 45 minutes = 0.75 h, 10 minutes ≈ 0.167 h, 20 minutes ≈ 0.333 h. A shift of 8 hours 30 minutes = 8.50 decimal hours. This tool performs all conversions for you; the column labeled "Total" shows each day's hours in decimal form as you type.

Worked Example

Monday 9:00 AM to 5:30 PM with a 30-minute unpaid lunch: 5:30 PM − 9:00 AM = 8 h 30 m, minus 0:30 break = 8.00 hours. A night shift of 10:00 PM to 6:00 AM with no break: 6:00 AM is earlier than 10:00 PM, so add 24 hours → 8.00 hours. If Monday through Friday total 45.00 hours with a 40-hour threshold, that is 40 regular + 5 overtime. At $18/hr: 40 × $18 + 5 × $18 × 1.5 = $720 + $135 = $855 gross for the week.

Common Mistakes

The most common error is forgetting to set AM vs. PM - a shift entered as 5:00 AM instead of 5:00 PM will read as early morning. Forgetting to deduct an unpaid lunch overstates hours and pay. Another mistake is trying to "fix" overnight shifts by swapping times; just enter the real clock-in and clock-out and the calculator handles the midnight boundary. Also remember that the 40-hour overtime threshold is per workweek under US federal law - do not average two weeks, and check whether your state has stricter daily overtime rules.

Limitations

This calculator totals one 7-day week and applies a simple overtime multiplier. It covers one in/out pair per day (no split shifts within the same day), does not round to payroll increments, and computes gross pay only - no taxes or deductions.
